Canon, leased or rented
The machine is the easy half of a lease. The agreement is the other half, and it is where offices get caught. Three words, three arrangements. Under a lease the cost of the machine is spread across a fixed term, and there is often a choice when it finishes. Rental rolls on period by period. Hire is the quick one, made for a project or a trial. If you want to rent a Canon printer on the Gold Coast for a few months and then decide, say so. If you want a stable arrangement for years, that is a lease.
Which one fits depends on how long you need the machine, how you want to treat the cost and what happens when it ends. We lay each out against your own figures and say plainly when buying would be better. See lease, buy or refurbished.



The brand has been sold in large numbers for a long time, so there are plenty of machines at every age. A technician can often tell a nervous office manager what the machine is doing before opening it. Parts are not hard to find, and the software is familiar to a lot of staff who have used a Canon at a previous job.
That familiarity can hide how different the models are. A compact i-SENSYS and an imageRUNNER ADVANCE share a name and not much else. The cost, the duty cycle and the service interval differ, so the tier matters more than the badge.
Property managers lease because a predictable monthly figure fits a budget. Clinics lease because they would rather not hold a depreciating machine on the books. Schools lease because the finance cycle suits it. Some trades offices lease because they do not want a big payment in a slow month.
Each of those has a good reason. Each also needs the agreement to say who looks after the machine, and for how long.

Where an agreement comes from somewhere else, we read it with you and tell you what it means. We would rather you ask before you sign than after.
Canon builds its commercial range in steps. Compact i-SENSYS machines, known in some markets as imageCLASS, suit a front desk or a small team that prints a few thousand pages a month. imageRUNNER ADVANCE machines suit a busy office with a shared copier, scanning and finishing, and the DX generation adds a newer panel and software. Production machines like the imagePRESS suit print rooms and heavier work.
A lease on the wrong tier is the classic mistake, because it follows you for the length of the term. We ask for pages a month, the share in colour, whether staff scan to email and what finishing matters. Then we say which tier fits, and whether A3 is justified. See A3 photocopiers.
The DX generation of imageRUNNER ADVANCE machines has a bigger, brighter touch panel and newer software. Staff pick it up quickly, which matters in an office with a rotating cast of temps, but the changes under the surface are where the questions come. Scan destinations, address books and login settings from an older ADVANCE do not always carry across. If you are replacing an older Canon with a DX, allow time for that setup, and ask for it to be done before the day you start relying on the machine.
Many commercial agreements bill by the page, sometimes called a click. A mono page costs one rate and a colour page another, and larger sheets can count double. This is not unusual and it is fair, but it means the lease is only as good as the meter reading that sits behind it. Ask how the reading reaches the supplier, what happens if the machine cannot report and who checks a bill that looks strange.
A fixed fee with a generous allowance can feel safe. If you rarely reach the allowance you are paying for pages nobody printed. A smaller allowance with sensible overage can cost less. We run both against what the office actually prints.
Offices move, and a lease does not always move with them. Some agreements follow the machine to a new address. Others need the supplier's permission and a visit. A change of premises in the middle of a term is worth asking about on day one, not on the day the removalists arrive. If the machine has to be moved, see relocation and removal.
The end of a lease is a negotiation in slow motion. The machine has done years of work, and wear that looks normal to you can read as damage on a return form. Take photographs at the start and at the end, keep the service records, and ask early whether the supplier wants the machine returned clean. A little attention here saves arguments.

If nobody in the office knows what the page count is, rent for a few months. The counters tell you the truth, and so do the staff who use the thing. You can then lease or buy on facts. Delivery, network connection and scan to email are ours to do, and the detail is on the installation and setup page. When it stops, the people who placed it come to fix it, at your premises. Certified, experienced technicians carry the usual spares, and 98% of repairs finish on the first visit. A fault that returns is fixed again free of charge, and same day service is available.
Can it be ended early? What counts as fair wear when the machine goes back? Does the lease include toner? What if the office moves? Who do I phone if it stops? We answer those plainly. A strata office with a changing committee, a clinic that may expand into the next suite and a school with a budget cycle all ask slightly different versions of the same questions, and we have heard them all.
A trial is worth the trouble when two machines are close. We have seen offices rent a mid range imageRUNNER ADVANCE for a few months, discover that staff used the scan to folder function constantly and the stapler never, and then lease a different model with a cheaper finisher. The trial saved them from paying for features nobody touched.
A leased machine is still a machine, and it needs the same care as one you own. Drums wear, fixing parts age and rollers go smooth. We keep a note of the counters at each visit, so that the pattern of wear is visible, and we tell you when a part is coming up for replacement rather than waiting for it to fail. If a repair is going to cost more than the machine is worth, we say so.
