New commercial copiers

New Photocopiers Gold Coast

A new multifunction copier is really a small server with a print engine attached, and most of the choice is about what it does with your documents once they are scanned. We supply new photocopiers on the Gold Coast to buy or lease, install them on your network and look after them afterwards. A new photocopier Gold Coast offices run for years starts with pages a month, paper sizes and who services it.

New photocopiers Gold Coast: current machines, installed and serviced locally

New photocopiers Gold Coast offices can run for years: what a new machine changes

Take a refurbished copier and a new one of the same size and put them side by side. The engines look much alike. The difference is in the layers around them: the touch panel, the scanning and workflow features, the security options, the stated duty cycle and the years of life in the wear parts.

That is why a new machine tends to suit three kinds of office. One prints heavy volumes, one needs current security and scanning features, and one simply does not want to wonder what a previous owner did. Anybody else should look at refurbished or ex demo first, and we will say so if that is the better fit.

The size question

Machines are rated for a monthly duty, and that figure is the one to respect. A team printing a few hundred pages a month does not need a departmental copier, and an office pushing out tens of thousands will grind a small one down in a year or two. We aim for a rated duty with room above your real volume, not a figure sitting exactly on it.

Speed matters less than people think. First page time, tray capacity and how the machine copes with a long two sided job are what staff notice. Colour adds toner cost and a more complex machine to service, so be honest about how much colour you actually print.

  • A4 multifunction: cheaper to buy and house, does what most offices need.
  • A3 multifunction: plans, wide spreadsheets, brochures and posters. Worth it only if somebody uses it.
  • Finishing: staple, punch or booklet, which changes the model and the footprint.

If you want a current model without paying for new, ex demo photocopiers and A3 photocopiers are the two pages to read next.

Security and scanning features worth the questions

A modern copier holds job data on an internal drive. It can also hold a print job until the person who sent it stands at the machine and enters a code or taps a card. In a medical practice or a legal office that matters, because confidential pages are not left sitting in an output tray over lunch.

Scan to email, scan to a shared folder and scan to a cloud store need to be set up with your IT provider, not around them. Mail systems change what they will accept from a device, and a setup that ignored that will break within the year. We ask what you use now and what is planned.

A feature nobody switches on is a waste. We show the people who will use the machine how secure release and scanning work, and then we leave the number to ring.

Buy or lease

Buying means the machine is yours and appears as an asset. A lease spreads the cost into regular payments and makes an upgrade easier when the term ends. Neither is better in general. We lay both against your numbers, and when you have not made up your mind we talk it through with no pressure either way.

The longer comparison, including refurbished, is in lease, buy or refurbished.

A3 or A4, colour or mono: the two decisions that change the model

Almost every other choice follows from these two. An A4 mono multifunction is the lightest on toner and the simplest to maintain, and it suits an office whose documents are letters, invoices and forms. Colour is worth having when documents go to clients, when reports are bound, or when a presentation pack is printed in house and not sent out.

A3 is the odd one. People buy it for the one drawing or the one wide spreadsheet a quarter, and then pay for the extra size every day. If A3 is occasional, ask what a local print shop would charge against owning the machine. If it is weekly, own it.

Install day, in the order it happens

The machine arrives at the right floor and is unpacked, placed and levelled. Paper and toner go in, then power and the network. Drivers go onto the computers that need them, scan destinations get set up, user codes and secure print are configured if you want them, and every function is tested from the desks that will use it.

A short session follows, covering paper loading, clearing a jam and scanning. Our photocopier installation and setup page has the longer version. The machines we sell are warranted, and we explain what is covered on the phone.

Talk it through

Offices that tend to buy new here

A medical centre in Robina with several rooms and one shared scan to file workflow. A law firm on a Southport floor with a lift, a locked records room and a lot of confidential paper. A strata management office in Broadbeach that prints notices by the hundred at quarter end. A builder's office in Molendinar that wants one tough machine for plans, variations and invoices.

Different offices, different reasons, same first question. We ask what leaves the tray each week and who carries the load when it stops. Plenty of practices tell us they want fewer surprises, and a new machine that is warranted and has a known service team is the nearest thing to that.

Coastal air still matters with a new machine. Salt and humidity do not care that it came out of the box last month, so we talk about where it will stand, how much space it needs and where the paper lives. A new copier in a damp corner jams just as readily as an old one.

What to have ready for the first call

You do not need a specification. A few plain facts are enough, and we will fill in the rest by asking.

  • The make and model of the machine you have now, if there is one, and a photo of its counter page.
  • How many people share it and what they print most.
  • Whether anyone prints on A3, in colour or on heavy stock.
  • Which floor and room it is going to, and how the machine will get there.
  • The name of whoever looks after your network.

With those in hand, we can say which models are worth looking at and agree a price on the phone before anyone is booked. Nothing is locked in by asking.

Service by people you can ring

A new copier is only as good as the visit when something fails. We look after photocopiers across the Gold Coast every day, so yours is serviced by a team you reach on a local phone and not a call centre queue. Technicians are trained, experienced and certified, they carry the common spare parts, and 98% of repairs are fixed on the first visit. A repeat fault is fixed again at no charge.

We are an independent service business, not the maker or a dealer of the brand. That frees us to say which make suits your office, and to supply machines from the makers we repair day in and day out.

Questions to put to any supplier of a new copier

Put these to us as well.

  • Who installs it and who services it afterwards, and are they the same people?
  • What do toner and wear parts cost across the life of the machine?
  • How is the page count measured, and who reads the meter?
  • What happens to the old machine and the data on its drive?
  • What is covered if something fails early?

The old machine

If a new copier is replacing one you already own, we can buy the old one and collect it when the new one goes in. The figure comes from the model, the page count and the condition, and the drive is wiped. If a move is part of the same project, relocation and removal can run alongside.

The second callout

The cheap visit is the one that fixes it

So we try to make the first visit the only one. The technician reads the history, brings the likely parts and tests the finished job properly. If the same fault does return, we fix it at no charge.

It is plain arithmetic. One visit done well costs less than two done quickly, and nobody has to explain the delay to a board.

  • Finished means tested. Every tray, the scanner and the finisher get a run.
  • Repeat fault, no bill. If it returns, so do we.

Common questions from Gold Coast offices

When is a new copier better than a refurbished one?

When the volume is high, when you want the newest scanning and security features, or when you want a fixed run of years from a machine with a clean history. Otherwise refurbished may serve as well.

Which brand is best?

None is best for everyone. We recommend by volume, colour, paper size and finishing, and we repair the main makes, so we are not tied to one.

Can a new copier hold my confidential print jobs until I arrive?

Yes. Secure release holds a job until the sender enters a code or taps a card. We set it up during installation.

How soon can a new machine be installed?

That depends on the model and your date. Phone with the date you are working toward and we plan around it.

Do you set up scan to email on our system?

Yes, working with your IT provider on addresses and sign in, and we leave the settings noted for the next change.

Is a new A3 colour copier worth it for a small office?

Only if somebody uses A3 or colour regularly. If not, an A4 machine is cheaper to buy, house and run.

What happens if the new copier fails early?

The machines we sell are warranted, and we explain what is covered on the phone. Repairs are done at your premises.

Do you take the old copier?

We buy used commercial copiers and can collect the old one when the new one goes in.
